Stirring up transformation one ERP Café at a time

As previously shared, we are embarking on a journey to transform our current ERP system (SAP). The current ERP system is outdated, overly complex, and doesn’t meet our business’s growing needs.

To support our growth and future success, we need a new ERP system that will:

  1. Enable our strategy
  2. Improve decision making
  3. Protect our reputation
  4. Reduce our risks
  5. Improve our efficiencies

While a dedicated project team and 130 key stakeholders are working to evaluate and identify the best ERP solution for our business, our ERP Change Team has focused on understanding you – the end users – and what you need for a successful transition.

Imagine walking into a warm, welcoming space filled with the smell of fresh coffee and cake. A space you’ve never seen before – open, relaxing, inviting. You’re handed a booklet. You see your favourite coloured pen and are invited to write or doodle what comes to mind when you hear, “What is ERP?”

That’s exactly what we created with the ERP Cafés.

We launched the ERP Cafés in March 2025. The cafés were inspired by a facilitation technique called World Café Sessions. This approach allowed for open, informal discussions in a relaxed setting – where people could talk, doodle, reflect, and co-create the future of ERP in a space that felt different from the usual boardroom.

The cafés kicked off at the conneXXion, followed by Leeuwpan, Matla, and Belfast. These creative focus groups gave everyone the chance to share ideas, voice their needs, and shape the ERP journey from the ground up.

From the sessions held at the four branches, we:

  • Conducted 33 sessions
  • Engaged a total of 544 attendees
  • Collected 467 doodle pages
  • Onboarded 58 ERP Pit Crew Members (Change Agents)

What is next?

We are currently preparing for the next round of sessions at Grootegeluk, scheduled for the first two weeks of July.
